The Company
Our company is a well-recognised, long term stable and COVID resilient water industry service provider delivering Plant Operations and Maintenance, Relief Operators, Engineering & Scientific Advice and Operator training (as an RTO) based in Melbourne.
We help people make good clean water throughout Australia, emphasising looking after small and remote communities, from mines, industry and resorts, to rural towns and indigenous communities, catchment to cup and back again.
The Role
We are looking for an experienced, efficient and well-rounded secretary to join our Admin team to provide high quality program and administrative support to our Training team.
This role covers a broad scope of activities. Applicants must be able to operate efficiently within a busy professional office environment.
The position reports to the Office Manager and works closely with our Training Services Manager. All of our trainers are company employees.
Duties will include, but are not limited to:
- Undertaking administrative duties to support the efficient operation of training services provided to clients in a manner compliance with the RTO Standards and relevant funding contracts;
- Managing the processes involved with administering and processing claims for government funding;
- Liaise with course students and their employers to organise course logistics;
- Student database management and data entry;
- Track and monitor project budget;
- Prepare sales invoices, purchase orders and journals;
- Dealing with and acting upon a variety of enquiries from staff, students and client companies;
- Coordinate trainers’ schedule;
- Report generation (e.g. AVETMISS, Quality Indicator etc);
- Assist with training resources development, formatting and sorting for courses.
Desired skills and attributes
- Previous experience in an RTO environment and understanding of RTO standards and QLD state funding schemes would be highly regarded;
- Experience with use of a student database system (preferably VETtrak) and LMS (preferably Moodle);
- Must be very organised;
- Experience in supervision of junior staff members would be an advantage;
- Computer skills across the MS Office suite, particularly in Excel and Word;
- Experience with MYOB Account Right Premier or similar system and are not scared of play with numbers;
- Strong communication skills, able to speak to people of diverse backgrounds;
- The initiative to work proactively;
- Ability to meet deadlines with a mature and calm attitude.
